2.    Your visit to our website
When you visit the pages in our career portal, all instances of access are recorded in a log file on our web servers. The following data are captured: IP-address of your client, date and time of access, name and URL of the accessed file, pages visited, data volume transferred, retrieval success report, video/audio media listened to/viewed, clicks on individual links, search words or phrases. The log file is stored for two months.  
We process this data for technical reasons to enable us to continually optimize the security and presentation of our websites. No person-specific evaluations are made.

 

3.    Recruitment procedure
Throughout the full recruitment process, we treat your personal data carefully and confidentially in accordance with statutory data protection requirements. Your data are stored and processed solely for the purpose of offering you a suitable position if possible and respectively for carrying out the application process. 
The legal basis for this is data processing in the context of employment as per Art. 6, para. 1, sentence 1, lit. b General Data Protection Regulation (GDPR) or in Germany Art. 88 of the GDPR, in conjunction with section 26, para.  1, sentence 1 of the Federal Data Protection Act (BDSG). There shall be no transfer of your data to third parties outside our group of affiliated companies.
For this purpose, you enter the relevant personal details for the application in the online mask and upload the associated documents. As an alternative to entering your personal data manually or uploading a CV document, you can also transfer your profile from a social network (LinkedIn, XING or similar).

Specific note for speculative applications:
You can apply online using the form specially designed for speculative applications (online process see above). 

Your speculative application will first be reviewed by the RRPS HR department in Friedrichshafen and then, if relevant, forwarded within the RRPS Group so that you can be included in the application process for a suitable position, if applicable. 
Please note that data may be forwarded to group companies within and outside the EU. Data will only be forwarded outside the EU in exceptional cases and with your consent.
The same legal basis applies to speculative applications as to all other applications (see above). 

3.1.    What data is processed?
We only process data from you that you provide to us during the application process. In particular, this includes the following information:  
-    First and surname, 
-    Address, 
-    E-mail address, 
-    The job you are applying for (if not a speculative application), 
-    CV and other personal details relating to your application,
-    Gender – to enable us to address you correctly,
-    Age / date of birth to enable us to comply with statutory minimum age requirement,
-    Nationality of non-EU members to enable us to comply with statutory minimum age requirements.

3.2.    Who receives my data?
Due to the organisational structure of the Rolls-Royce Power Systems Group, your application may be processed by the recruiting team of RRPS AG or recruiting teams of our subsidiaries, depending on the position for which you are applying. When you are selected for a specific position and in the further recruitment process, your application will also be passed on to those responsible for filling vacancies in the relevant affiliated company. 

Specific note for speculative applications:
As mentioned above, your application will be forwarded within the group if relevant. In the case of selection for a specific position and in the further recruitment process, your application will be forwarded to those responsible for filling the position in the relevant affiliated company.

In the case of both normal applications and speculative applications, your personal data will be processed exclusively by the employees responsible for the job vacancy and, if applicable, by service providers who provide services necessary for the recruitment procedure. These service providers are contractually obliged to comply with data protection. For our applicant platforms and tools in particular, we use external service providers who host the data within the EU. Support is primarily provided from the EU. In certain cases, however, support from a third country (country outside the EEA) may be necessary. Some third countries are certified by the European Commission as having data protection standards comparable to the EEA standard through so-called adequacy decisions (a list of these countries and a copy of the adequacy decisions can be found here: http://ec.europa.eu/justice/data-protection/international-transfers/adequacy/index_en.html). However, in other third countries where personal data may be processed, there may not be a consistently high level of data protection due to a lack of legal provisions. Where this is the case, we ensure that data protection is sufficiently guaranteed. We generally use the standard contractual clauses of the European Commission and, if necessary, take further measures to protect your personal data.
We only pass on your data to these contractually obligated service providers or to authorities if and insofar as we are obligated to pass it on due to official requirements.

 

4.    Background Screenings
Before hiring, we conduct a so-called AEO screening (terror list screening) for every future employee. If you will be working in security-relevant areas, we will also carry out further background screenings, depending on the risk group of the position. You will be informed separately about this, if applicable to you. 
Background screenings are carried out to establish the employment relationship (art. 6, para. 1, sentence 1, lit. b GDPR or in Germany section 26 para. 1 BDSG) and due to our legitimate interest (art. 6, para. 1, sentence 1, lit. f GDPR) in fulfilling our obligations as a company to combat bribery and corruption and to prevent illegal activities.

 

5.    When will your data be deleted and how can you update it?
As standard, we store your details in our applicant management system for 4 months after the application process has been completed. After that, your data will be completely deleted. In the event that you revoke your consent for extended use, your data will be deleted within 7 working days.

Specific note for speculative applications:
Since speculative applications must first be checked within the Group to see whether there is a suitable position or whether a suitable position may become vacant at a later date, we keep your speculative application for 6 months. If there is no suitable vacant position for you after the 6 months, you will receive a corresponding notification.

After completion of the recruitment process (no suitable position / rejection or self-rejection), we store your details in our applicant management system for a further 4 months as standard. After that, your data will be completely erased. 


6.    Rights of data subjects
You have the right to request information at any time on the data relating to your person being stored. You furthermore have the right to request correction of any errors in your personal data, which includes the right to have inadequate data completed in the form of e.g. a supplementary statement.  
Furthermore, you have the right to request where appropriate that your personal data be erased (right to erasure).  Should erasure not be permissible due to statutory requirements e.g. archiving requirements, the processing of your data shall instead be restricted (i.e. blocked) so that it may be accessed only for the strict purpose of meeting these legal requirements. You furthermore have the right where appropriate to make a request yourself for restriction of the processing of your personal data (right to restrict). With respect to personal data which you have provided us and which is processed by us in relation to an agreement or contract using automatic means, you have the right to request that such data is transferred to you or to a third party named by you (right to data portability). 

You may object to the processing of your data for reasons relating to your particular situation if such processing is being carried out in our overriding legitimate interest or for the purpose of a task being performed in the public interest (right to object). 

Insofar as data processing takes place on the basis of your consent, you have the right to withdraw your consent at any time (right to withdraw consent).
